This is an opportunity to join a large HR team. We are looking for someone who will enjoy maintaining the HRIS system for this team. You will be a key liaison with the IT department and will have previous HR and payroll data processing experience with a major online HRIS system. You will maintain control logs, generate reports; prepares and maintain HR and payroll source documentation and records; and provide assistant and advice on benefit plans, Municipal Pension Plan, collective agreements, human resource policies, procedures, and records. Strong Excel skills will be required to run and create reports and pull data.

Responsibilities:

· Maintains user and system manuals; recommends improvements or modifications to existing procedures; works with IT staff regarding system changes and tests approved changes; coordinates information loading and timing of changes with payroll; performs audits of internal and external data; validates data entries and maintains related control logs, diaries and records for audit trail purposes.

· Prepares, generates and distributes standard and custom reports such as seniority lists, benefit plan statistics and analyses, wage and salary surveys and contract wage increases, as scheduled or upon request; employs system features to make large-scale changes such as contract wage increases; prepares confidential labour relations statistics and costing data.

· -Prepares human resources and payroll source documentation for new employees or to effect changes in employee status and benefits; calculates and codes benefits such as annual vacation and sick leave entitlements; tracks auxiliary part-time and temporary hours for probation, benefits and seniority purposes; calculates and validates hours for seniority porting; searches

files to obtain payroll history and assists in establishing pay steps and monitoring increment dates.

· Initiates notices for increments, performance appraisals, benefit plan enrollments and related activities and monitors the progress of the necessary approval procedures to ensure completion.

· Prepares, maintains, processes and monitors a variety of human resources and payroll related files such as confidential employee files, vacation records, employee control records for full and part-time staff, performance appraisal control records, competition, position and benefit invoices.

· Provides assistance and advice to a variety of internal and external contacts regarding benefit plans, Municipal Pension Plan, the collective agreement and human resources policies and procedures within specified limits and guidelines; provides information regarding employees in response to credit or reference inquiries.

· Performs related work as required.

Qualifications:

· Diploma or certificate program in Human Resources supplemented by courses in related software applications plus

· 3 years’ related experience in either human resources or payroll data processing with a major on-line payroll/human resources system or an equivalent combination of education, training and experience.

This role requires the ability to:

• perform a variety of technical human resource duties under established guidelines;

• apply the terms of collective agreements as they relate to the work performed;

• prepare, maintain, process and control a variety of records and files;

• deal effectively with a variety of internal and external contacts and to supply assistance and advice to same on human resources matters within specified guidelines;

• exercise tact and discretion in processing confidential matters and materials;

• perform all duties with minimal supervision.

The role also requires superior clerical aptitude and skill in the use of common office applications
