Our client is the headquarters of a successful Canadian company. This is a wonderful opportunity to work with a stable, professional team.  We are looking for an individual who is passionate about administration and able to juggle multiple tasks with high degree of accuracy.  Preference will be given to individuals who have worked in larger companies with multiple divisions across the country.

Responsibilities:

  • Facilitates and coordinates all administrative aspects of recruiting and onboarding such as creating offer letters, processing new hire paperwork, and tracking onboarding progress.
  • Sends out employee arrival, departure, and change communication emails to the appropriate departments.
  • Tracks temporary employee contracts and extensions, ensuring appropriate paperwork is in place.
  • Coordinates the administration of various employee programs.
  • Manages the incoming and outgoing faxes and mail for the department.
  • Maintains department physical and electronic filing.
  • Using Visio, maintains organizational charts.
  • Provides administrative support to other department positions.
  • Participates in planning the annual Head Office Christmas party.

 Qualifications:

  • Minimum three years office experience required
  • Strong administrative and communication skills with excellent spelling and grammar.
  • Able to communicate effectively with internal staff and work in a team-focused environment
  • Intermediate to advanced knowledge of MS Office
  • Knowledge of Visio and Adobe Acrobat Pro an asset
  • Excellent grammar and spelling
  • Meticulous with details and superior accuracy
  • Professional phone skills with emphasis on customer service
  • Excellent organizational skills
  • Able to work independently
  • Must be able to juggle multiple priorities in a fast paced environment
  • Handle confidential information with discretion
  • Able to work under pressure with changing priorities and strict deadlines
  • FRENCH language skills an asset.
